Sales Support Coordinator

SUMMARY

Working with direct supervision, the Sales Support Specialist is responsible for delivering sales support to the Business Development Team to drive incremental profitable sales revenue.  In addition to operating under current sales support policies and procedures, the incumbent will be responsible for identifying and writing up best practice SOPs for the sales support team.  Individuals in this role will be responsible for providing administrative support to the ThinkGeek Business Development team.  Associates will interact with his or her supervision frequently during each work period.  Nearly all but the most routine activities will require a supervisor’s advance approval. 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES*

  • Identify critical customer-interface steps including: customer portal interaction, new item set up, order tracking, issue resolution, invoice/deduction resolution to improve efficiency and customer interactions
  • Spearhead the development of a complete order to invoice process for the ThinkGeek Wholesale organization
  • Develop SOPs for all ThinkGeek Wholesale back office positions
  • Provide customers with updated order tracking and shipment notifications in a timely manner
  • Assist in the coordination of EDI integration including working with trading partners to resolve any operational issues
  • Coordinate and test all EDI implementations with new EDI partners
  • Communicate with warehouse on order status to ensure timely and accurate shipments
  • Assist with order shipment logistics
  • Maintain records of sales and shipments in Box.com
  • Enter non-EDI sales orders into NetSuite
  • Process and monitor all inbound and outbound documents
  • Work collaboratively with others within and outside of his or her function to achieve goals, simply processes, reduce costs, prevent loss, and to ensure that work is completed safely, accurately, and on time
  • Manage relationships in a manner acceptable to others and to the organization; adhere consistently with all organizational policies related to our respectful workplace
  • Demonstrate a consistent commitment to field-focused service by prioritizing field-based requests, responding quickly and favorably to field-based feedback, by minimizing tasks, and proactively seeking ways to help store teams focus on customer service as productively as possible
  • Responsible for adhering consistently with all employment policies as stated in the employee handbook provided or as provided by his or her supervisor
  • Stay abreast of job-related trends and developments across the retail industry; prepare relevant recommendations as needed
  • Model the high level of customer service expected of all GME associates including, but not limited to, responding to voice mails and emails within organizationally defined timeframes, completing projects as committed, responding to others’ feedback appropriately, and making optimal use of organizationally limited resources by offering assistance to other functional teams when appropriate
  • Model team commitment by adhering to the team's expectations and guidelines; fulfilling team responsibilities; and demonstrating personal commitment to the team by being cooperative, collaborative, and flexible

BASIC AND PREFERRED QUALIFICATIONS (EDUCATION and/or EXPERIENCE)

  • High school diploma required; Bachelor’s degree in Business Administration, Marketing, or Logistics preferred
  • 3 years administrative experience in a dynamic, fast paced sales organization 
  • Scrum Master, Lean Six Sigma, or other process improvement leadership experience highly desirable
  • Experience with NetSuite preferred
  • Experience with warehouse/shipping administration, EDI, or order fulfillment preferred

 

MINIMUM QUALIFICATIONS, JOB SKILLS, ABILITIES

  • Proficient knowledge of Windows-based business computers and Microsoft Office programs; specifically, Access, Excel, PowerPoint, and Word
  • Proficient communication and negotiation skills including a good understanding of conflict management/resolution
  • Proficient attention to detail and accuracy are imperative
  • Working knowledge of and interest in gadgets, technology and geek-related retail products
  • Proficient written and verbal communication skills and customer service ability
  • Ability to pivot at a moment’s notice based upon the ever changing priorities of the organization
  • Ability to work under demanding time constraints and production goals
  • Must be detail oriented, organized, proactive, and have the ability manage multiple responsibilities and requests simultaneously
  • Working ability to communicate effectively with others using written and spoken English
  • Working ability to work cooperatively and collaboratively with others; conducts working relationships in a manner acceptable to others and to the organization
  • Working ability to work under demanding time constraints and production goals
